1. Dial the Access Code Inside the IVR: #
- Call the main phone number associated with your system.
- Once inside the IVR (Interactive Voice Response) menu, dial the specific access code for the bulletin you wish to record for (e.g., *2, *123).
2. Record Your Message: #
- Wait for the beep/prompt indicating that the system is ready to record.
- Speak your message clearly into the phone.
- Press the pound key (#) when you are finished recording.
3. Choose Your Action: #
After pressing #, you will have the following options:
- Press 1 to Save your recording.
- Press 2 to Listen to the recording you just made.
- Press 3 to Re-record your message (this discards the previous attempt).
- Press 4 to Cancel the process (this discards the recording).
Listening To & Managing EXISTING Messages in a Bulletin (Admin) #
1. Access the Bulletin: #
- Call the main phone number and dial the menu number assigned to the bulletin (e.g., 300).
2. Listen to the Recordings: #
- The system will automatically begin playing the recordings for that bulletin.
3. Manage Options (Requires Admin PIN): #
While a message is playing or immediately after, you can interrupt with the following options. You will be prompted to enter your Admin PIN before the action is taken:
- Press 00 to Record/Add a New Message to this bulletin. (Follow prompts similar to the steps in Part A, Step 2 & 3).
- Press 07 to Delete the recording that is currently playing or just finished.
- Press 08 to Replace the recording that is currently playing or just finished. (You will be prompted to record the new message).
4. Confirmation Sub-Menu: #
After selecting an option like 07 (Delete), you might be presented with a confirmation menu:
- Press 1 to Confirm Delete.
- Press 2 to Preview the recording again before deciding.
- Press 3 to Return to the playback without taking action.
